i) Live Chat (HubSpot Conversations)

A live chat is available on our website, allowing you to contact us directly. The chat is used exclusively as a manual or rule-based communication feature; no AI functionalities are deployed.

Obtaining consent
Before you can use the live chat, we will ask for your consent via the chat window for:

• the use of the chat, including the cookies required for this purpose; and
• the storage of your chat history as a ticket for the handling of your request.

The legal basis for this data processing is your consent in accordance with Article 6(1)(a) GDPR and – for technically necessary chat cookies – Article 11.7a of the Dutch Telecommunications Act.

Data processed
When using the chat, only the data you voluntarily enter will be processed. We ask you not to enter any sensitive personal data. In addition, HubSpot processes technically necessary data, such as:

• IP address
• date and time of access
• browser type and version
• operating system
• referring URL (referrer URL)
• technical session and device data
• any Local Storage entries required to make the chat available

This data is necessary for the technical operation of the chat.

Storage and deletion
If you have given your consent, your chat history will be stored as a ticket in order to handle your request and ensure our service quality. For individuals who are not registered customers or who no longer make bookings with us, chat histories are in principle deleted after 6 months. A longer retention period applies only where legal retention obligations or existing contractual relationships require this.

Processor engaged
For the provision and analysis of the chat, we use the processor HubSpot, Inc. (USA), acting under our instructions. For transfers of personal data to the United States, an adequate level of protection is ensured by the provider's certification under the adequacy decision EU–US Data Privacy Framework. A data processing agreement has also been concluded.
